Haitham, your assistant

Who Haitham is, what he can do for you on WhatsApp and email, and how to connect your number.

Haitham is ProcDuck's assistant on WhatsApp and email. He is built to work the way a NUPCO tender specialist with ten years of bidding experience does: he reads a tender the way you do (line items, NUPCO codes, deadlines, award history) and he does the legwork from a chat, with the same permissions you have in the app.

Who is Haitham?

Think of Haitham as the colleague who has worked NUPCO tenders for ten years and knows the trade inside out: which agencies buy what, how a line item is priced, what a winning quotation looks like and how an RFQ should go out to manufacturers. He speaks Saudi Arabic and English, replies in the language you write in, and keeps his answers short and practical.

Note:Haitham is an AI assistant, not a person on a phone. Everything he says comes from ProcDuck's records and the messages you send him. He never guesses a price, a date or a status, and when he cannot find something he says so rather than inventing a reason. He also never messages first: every reply answers something you sent.

What he can do

  • Search Etimad and NUPCO tenders and their line items, by keyword, NUPCO code, agency or reference number, and tell you exactly what he found.
  • Check award-price history for an item or a tender, so you price with evidence.
  • Read a BOQ or price list you send as a photo, PDF, Word, Excel or CSV file, and turn it into tender items, products or supplier prices. After showing you what he read.
  • Draft quotations and supplier RFQs, record supplier quotes, track bids, favorite tenders and set keyword alerts.
  • Send you the file: an RFQ's vendor Excel sheet, a quotation PDF or a letter arrives in the chat right after his reply.
  • Take a voice note: it is transcribed and answered like any other message.
Tip:Haitham acts as you. He carries your role in the organization, so he can never see or do more than you can in the app, and everything he creates shows up in the workspace for your team.

Connect your WhatsApp number

There is no form to type your number into. Haitham links the number you message him from, so a number is connected only by the phone that holds it.

  1. Message Haitham on WhatsApp from the phone you want to connect: open the chat with Haitham.
  2. He replies with two options. Choose Connect my account and he sends you a single-use link that is valid for 30 minutes.
  3. Open the link while signed in to ProcDuck, check the masked number and confirm. Haitham writes back into the chat that your account is linked.

Linked numbers appear under Settings → WhatsApp, where you can disconnect one or choose whether tender alert matches are also sent to it. An account can link up to five numbers.

Email and Claude

The same Haitham answers email. Write to haitham@mail.procduck.com from the email address of your ProcDuck account — a request, or a forwarded RFQ with its BOQ attached — and he replies in the same thread, with any generated files attached. You can also use ProcDuck from inside Claude through the MCP server.

New to ProcDuck?

If your number is not connected to an account, Haitham greets you with two choices: connect an existing account, or book a demo. Every new account starts with a demo, so he will point you to the booking page rather than take your details in the chat.
