Connect Zoho Books

Connect your organization's Zoho Books with its own API client, then choose what moves: sales orders from Zoho into ProcDuck, and sales orders and approved quotations from ProcDuck into Zoho.

ProcDuck connects each organization to its own Zoho Books through an API client the organization creates itself in Zoho's API console. Access stays your organization's, and you can revoke it from Zoho at any time.

Note:The integration is on the Pro and Enterprise plans, and the owner or an admin manages it under Settings → Integrations.

Create an API client in Zoho

  1. Sign in to the Zoho API console with an account that can reach your Zoho Books organization. Use your data centre's site if your account is not on zoho.com, for example api-console.zoho.sa for Saudi accounts.
  2. Choose Add Client, then Server-based Applications. Do not choose Self Client: it does not fit this connection.
  3. Give the client a name such as "ProcDuck", and put your organization's website in Homepage URL.
  4. Copy the redirect URI shown on the Zoho Books card in Settings and paste it into Authorized Redirect URIs exactly as shown.
  5. Save the client, then copy the Client ID and Client Secret from the Client Secret tab.

The redirect URI is:

https://procduck.com/api/integrations/zoho-books/callback

Enter the client and connect

  1. Open Settings → Integrations in ProcDuck and go to the Zoho Books card.
  2. Pick the data centre you created the client in, paste the client ID and secret, then choose Save client.
  3. Choose Connect Zoho Books and approve the access on Zoho's page. ProcDuck asks to read, create and update only, never to delete.
  4. If your login reaches more than one Zoho Books organization, pick the one to sync with.
Warning:The client secret is stored encrypted in Supabase Vault and never shown again. It can only be entered on the settings page, not over the API or through Claude. Disconnecting deletes it along with the access.

Choose what moves

Every direction is off until you turn it on. Only records dated on or after the start date move in either direction. It defaults to the day you entered the client, and you can change it.

  • Import sales orders, copying the order and its files: every hour, each new Zoho sales order becomes a ProcDuck sales order once, with its customer, lines, prices, dates and attached files. Later edits in Zoho do not overwrite it, and drafts and void orders are skipped. An order fully invoiced in Zoho is recorded delivered, every line of it.
  • Import the attached PO only: nothing is created by itself. The sales order import page shows a "From Zoho Books" list: tick one or more orders, or read every order not imported since a day you choose (up to 500 at a time). Their attached PDFs are read like any purchase order you upload, and you review them all in one list before creating them. An order fully invoiced in Zoho is recorded delivered, every line of it, when it is created; that needs the Admin or Owner role.
  • Send sales orders to Zoho: new sales orders are created in Zoho and changed ones are updated. Orders imported from Zoho are never sent back.
  • Send approved quotations as estimates: a quotation is sent once it has stayed approved for 24 hours, so one un-approved or deleted within the day never reaches Zoho. It is sent again if it is edited and approved again.

The sync runs every hour, and Sync now runs it at once. The card shows the last run's result and every record Zoho refused, with the reason. ProcDuck never deletes anything in Zoho Books.

Disconnecting

Choose Disconnect on the card. ProcDuck revokes its access at Zoho and deletes the client secret and tokens, and nothing already copied is deleted on either side. If you connect again later, no record is copied twice.
